1. Purpose
To explain how clients create an Advance Shipping Notification (ASN) in Mintsoft before sending stock to the Scale 3PL warehouse.
Creating an ASN allows the warehouse to prepare for incoming deliveries and ensures stock can be received efficiently.
2. Scope
Applies to all inbound stock deliveries including cartons, pallets and containers.
3. Responsibilities
Client
-
create an ASN in Mintsoft before sending stock
-
provide estimated delivery information
-
list the products and quantities being delivered.
Scale 3PL
-
review incoming ASN records
-
receive and book stock into Mintsoft when deliveries arrive.
4. Procedure Steps
1. Navigate to Create ASN
In Mintsoft go to:
Warehouse → Goods In → Create ASN.
This opens the ASN creation screen.
2. Enter Delivery Information
Enter the required delivery information:
-
PO Reference or general reference (for example supplier name)
-
Supplier
-
Estimated delivery date
-
Delivery type (carton, pallet or container)
-
Estimated quantity of cartons or pallets.
The delivery quantity does not need to be exact because warehouse staff can update it when the delivery is booked in.
Click Next once the delivery details are complete.
3. Add Products to the ASN
Products must now be added to the ASN.
You can:
-
search for the SKU code
-
scroll through the product list
-
select the product and enter the quantity.
Click Add to include the item in the ASN.
If an error is made, the quantity can be amended or the item removed from the ASN before confirmation.
4. Creating New SKUs
If a product has not yet been created in Mintsoft, a new SKU can be entered when adding products.
Warehouse staff may need to complete missing product attributes when the goods are received, such as:

product description
-
weight
-
barcode.
5. Uploading Products via CSV (Optional)
If a delivery contains a large number of SKUs:
-
download the ASN CSV template
-
complete the product list
-
upload the file into Mintsoft.
This allows many products to be added at once.
6. Confirm ASN
Once all products are added, confirm the ASN.
The warehouse will then expect the delivery and prepare for goods-in processing.
5. Additional Controls
Deliveries without an ASN may take longer to process because the warehouse has no advance notice of the incoming stock.
