Mintsoft (WMS) Outage - Disaster Recovery

1. Purpose

This document explains the temporary process we will follow if our warehouse system becomes unavailable.

Our aim is to:

  • Continue dispatching your orders
  • Maintain stock accuracy
  • Ensure all data is captured correctly
  • Set clear expectations during this period

2. Service Impact

During this period:

  • Service level agreements (SLAs) are suspended
  • Dispatch times will be longer than normal
  • Tracking updates will not be real-time
  • Next day and time-sensitive services are not available

3. What This Means for You

We will continue to ship orders, but with reduced automation.

To support this, we require all customers to follow a temporary order submission process.


4. Order Submission Process

Requirement

All orders must be submitted via CSV file.

  • Maximum of 2 files per day
  • Files processed in order received
  • Files that do not meet requirements will be rejected

File Naming Format

CLIENTNAME_REGION_YYYY-MM-DD_BATCH#.csv

Example:
YOURBRAND_UK_2026-03-23_BATCH1.csv


Where to Send Files


5. Important Operational Notes

  • Orders are processed first come, first served
  • Next day or expedited services are not available
  • All shipments will be sent using Evri
  • If you currently use another courier, shipments will be moved to Evri during this period
  • All international shipments will be held for 24 hours

6. Tracking

  • We will provide a tracking file containing:
    • Order number
    • Tracking number
  • You will need to upload tracking into your own systems (e.g. Shopify)

7. Stock Availability

  • Orders may be held if stock availability cannot be confirmed
  • No partial shipments will be made

8. Returns

  • Returns are temporarily paused
  • No returns will be processed during this period

9. Ongoing Review

We review the situation every 24 hours and will update you if any part of this process changes.


10. Communication

We will continue to provide updates as the situation develops.

  • Maintain control of stock
  • Reduce errors during manual handling
  • Ensure a smooth transition back to normal service
