Stock Accuracy and Inventory Adjustments

1. Purpose

To explain how Scale 3PL maintains inventory accuracy and how stock discrepancies are investigated and corrected.

2. Scope

Applies to all inventory stored within the Scale 3PL warehouse.

3. Responsibilities

Client

  • ensure product information in Mintsoft is accurate

  • notify Scale 3PL if discrepancies are identified.

Scale 3PL

  • maintain inventory records in Mintsoft

  • perform cycle counting

  • investigate discrepancies.

4. Procedure Steps

1. Inventory Management

All stock movements are recorded in Mintsoft.

Inventory levels change when:

  • stock is received

  • orders are dispatched

  • returns are processed

  • adjustments are made.

2. Cycle Counting

Scale 3PL performs regular cycle counts to verify stock accuracy.

Cycle counting involves checking selected SKUs without interrupting warehouse operations.

3. Discrepancy Investigation

If a stock discrepancy is identified:

  1. warehouse staff review recent inventory movements

  2. picking and receiving records are checked

  3. storage locations are inspected.

4. Inventory Adjustment

If a discrepancy cannot be resolved, an inventory adjustment may be recorded in Mintsoft.

Clients will be notified where adjustments materially affect stock levels.

5. Additional Controls

Clients can monitor inventory levels in real time using the Mintsoft dashboard.
